Import Stock Entries from a File

You can add or update stock levels for many items at once by importing an Excel file, for example after a stock take. Add stock adds the quantities in your file to the current stock level. Inventory check replaces the current stock level with the quantities in your file.

For general import instructions, see Import from File.

Import the File

  1. Go to Settings > Import & Export > Import from file.

  2. Drop your file into the upload area, or select the area to choose a file.

  3. Select Add stock or Inventory check from the Import type drop-down list.

  4. Columns with the same name as a Vetera field are mapped automatically. For Clinic location, select the pen button and match the names in your file to your clinic locations. Every column you map shows Mapped. Then select Next.

  5. In the preview, check the status of every row. For Add stock, every row should be New. For Inventory check, every row should be Update.

  6. Select Start import. The Import progress page opens. When the import is done, its status is Success.

Add Stock

Use the Add stock import type to add several new stock entries. Your file needs a column for each field you want to import, and the column names below are the field names in Vetera.

These columns are mandatory:

  • Name: the item name. The value must be a 100% match of the item name in Vetera. Do not set this field as a key field. To get the exact item names, export your stock list from Inventory > Stock > Export.

  • Clinic location: the clinic location the stock entries belong to.

  • Packages: the quantity you are adding, in packages.

These columns are optional:

  • Batch number

  • Expiry date: needed if using batch. The value must be an actual date.

  • Wholesaler code

  • Purchase price excl. VAT

To calculate Packages, divide units by units in the package. You can keep Units and Units in the package as columns in your file for the calculation. They are not imported, so leave them unmapped on the mapping page.

Inventory Check

Use the Inventory check import type to update the stock levels of several existing stock entries. Your file needs a column for each field you want to import, and the column names below are the field names in Vetera.

These columns are mandatory:

  • ID: the item ID. Set this field as a key field, so the import updates the existing items.

  • Clinic location: the clinic location the stock entries belong to.

These columns are optional:

  • Name: add this, but do not set it as a key field.

  • Stock level (units): the total amount of units.

  • Stock level (packages): the same quantity in packages.

To get a file with the item IDs and exact item names, go to Inventory > Stock and select Export. Select XLS export max. 100 items to download up to 100 items, or Send full XLS export to email to receive all items by email. Update the stock levels in the exported file, and then import it.

To calculate Stock level (packages), divide Stock level (units) by units in the package. You can keep Units in the package as a column in your file for the calculation. It is not imported, so leave it unmapped on the mapping page.

If rows show Error with package and unit amount, check that Units in the package is correct in the item settings, or fill in only packages or only units.
