Use the Consultation Report

The Consultation Report shows how your clinic's consultations are running. It shows how long clients wait, how long consultations take, what they earn, and how many are first-time clients. The report groups and totals the figures for you, so you do not need to export the data and rebuild it in a spreadsheet. It replaces the old Consultation count report. Find it under Reporting > Reports > Consultations.

Open the Consultation Report

You need the Practice performance reports permission in the Reporting permission group. The Admin, Manager and Reports roles have it by default. If you cannot see the report, ask your practice administrator to check your permissions. There is nothing else to set up.

To open the report:

  1. In the left side-panel, select Reporting > Reports.

  2. In the list of reports, select Consultations.

The report opens on the Consultations tab.

The report has three tabs:

  • Consultations shows the report itself.

  • Scheduled lists the exports you have scheduled.

  • Shared lists the reports sent by email.

When the Data Updates

The report does not use live consultation records. The data refreshes twice a day, and the refresh times are shown at the top right of the report. Consultations recorded after the last refresh appear after the next one. To see what is happening right now, use the calendar and the consultation lists.

What the Metrics Bar Shows

Seven figures sit above the table. They all recalculate when you change the filters.

Metric

What it tells you

Total consultations

How many consultations match your filters

Median wait

The midpoint wait between check-in and start

Median duration

The midpoint length of a consultation

Median total time

The midpoint time from check-in to discharge

Total revenue

Gross invoiced amount across the matching consultations

Avg revenue

Gross invoiced amount per consultation

First-time %

Share of consultations with a first-time client

Note: The three timing figures are medians, not averages. A few consultations left open for weeks would pull an average far away from a typical day. The median stays representative.

To see the figures for each veterinarian, set Group by to Veterinarian. The share of repeat clients is 100% minus First-time %.

Start From a Saved View

Six views come with the report. Each view is a set of filters you would otherwise build by hand.

View

What it shows

Default

Consultations from the last 30 days

First-time clients (last 30 days)

First-time clients only, grouped by veterinarian

Long wait times

Waits over 20 minutes, longest first

Revenue by department (last 30 days)

Last 30 days, grouped by department

Unbilled consultations

Consultations with no invoice, newest first

Today's consultations

Consultations dated today

To keep your own version of a view, change its filters and select Save view at the right end of the view tabs. To start a new view, select + at the end of the view tabs.

Group and Choose Columns

Select Display, the first button in the toolbar above the table. It holds two controls:

  • Group by turns the list into totals, for example by veterinarian or by department. It is set to None by default.

  • Manage columns lets you search the list of columns and show or hide each one.

Four useful columns are hidden until you turn them on in Manage columns:

  • Total time

  • Discharge time

  • Discharged

  • Amount paid

Filter the Report

Schedule the Report

You can have the report sent on a repeating schedule instead of exporting it by hand. To schedule the report:

  1. Select Schedule at the top right.

  2. Set the Start date and Time. Your time zone is shown below the time.

  3. Choose a Frequency.

  4. Under Export format, select CSV File or XLSX Spreadsheet.

  5. To use the filters you have set, leave Apply filter to the report selected. The number of filters applied is shown below it.

  6. Check the Review panel. It shows the schedule in plain words and the next three send dates.

  7. Select Create schedule.

The schedule appears on the Scheduled tab. There you can search schedules and filter them by Active or Paused.

Export and Share the Report

To download the report as it is currently filtered, select Export at the top right.

To send the report by email, select Share at the top right. Reports you send are listed on the Shared tab, where you can search by email address and filter by Sent, Pending or Failed.

How Consultation Times Are Measured

Every timing figure comes from four times recorded on the consultation: Checked in, Started, Finished and Discharged. Each figure is the time between two of them.

To

Wait time

Checked in

Started

Duration

Started

Finished

Discharge time

Finished

Discharged

Total time

Discharged

Note: A timing figure is blank when one of its two times is missing. Walk-in and phone consultations are often never checked in or started, so their wait time stays blank instead of showing zero. If your clinic does not check patients in, Wait time is blank for every consultation. This comes from how consultations are recorded. It is not a fault in the report.

Revenue Figures Are Gross Amounts

Total revenue and Avg revenue show the gross invoiced amount linked to the consultation, whatever its payment status. Discounts and credit notes are not deducted. A revenue figure does not mean the consultation was paid. To narrow the list by payment status, add the Payment status filter.

How First-Time Clients Are Counted

A first-time client is a client with no earlier consultation on record at the time of that consultation. Only consultation history counts, so a client who has bought products but never had a consultation still counts as first-time. If your clinic migrated to Vetera, the history goes back only as far as your migrated consultation data.

What the Report Does Not Show

The Consultation Report does not show:

  • diagnoses or treatment outcomes

  • live data, because the figures update at the refresh times

  • how an appointment was booked

  • links between a consultation and its follow-up visits

Switch Back to the Old Report

The old Consultation count report is still available. To open it, select the three-dot button (⋯) at the top right of the Consultation Report, then select Switch to old report.
