Create and Manage Text Templates

Text templates let you save text you use often and insert it into clinical notes, discharge instructions, medicine instructions, and other places in Vetera. You can also enable a clinical note template for AI Scribe, so that AI Scribe fills in the relevant parts of the template during a consultation. This article covers how to create, edit, archive, and copy text templates.

You need specific user permissions to access settings and manage text templates. See View and Manage User Permissions.

Create Text Templates

  1. Select the clinic location name in the top left, then go to Settings > Lists & Templates > Templates > Text templates.

  2. Select Add. The Create text template dialog opens.

  3. Under Template settings, choose the template Type.

  4. Clinical note templates may also include an option to select a Note type. See Clinical Notes Settings, Clinical Note Types, and Clinical Note Templates for more information on clinical note types.

  5. Select the Untitled template heading and enter a name for the template.

  6. Enter the template body in the text field. This can be either free-form text or a combination of text and placeholders. Select Placeholder help for the available placeholders, or see Use Placeholders in Text Templates for more information. You can also apply available font styles for text formatting if needed.

  7. If you want to make the template available only to a specific user (for example, yourself), select a User.

  8. Select the Clinic location(s) for which the template will be available. This is set to All by default.

  9. If you want to keep the template as a draft and not yet available for use, select the Draft checkbox. You can view all draft templates using the Draft filter in the text templates list.

  10. Select Save.

Create Your Own Text Template

The Enable user-editable text templates setting must be enabled under Settings > General > Clinic location.

You can create your own custom text template directly on the consultation page, from the preliminary notes, clinical notes and discharge instructions fields.

  1. Go to a consultation page.

  2. Depending on which consultation page you are using:

    • New consultation page: In Consultation overview, Clinical notes or Discharge instructions, select + Add template. In Consultation overview, select View more first to see the Preliminary notes field.

    • Old consultation page: In Consultation details, select the pen button, then select the Text templates button next to the Preliminary note field. In Clinical notes and Discharge instructions, select the Text templates button.

  3. In the dialog that opens, select the button for the template you want to create: Create preliminary note template, Create note template or Create discharge instructions template.

  4. For clinical notes, you can optionally select a custom note type from the Custom type drop-down list. See Clinical Notes Settings, Clinical Note Types, and Clinical Note Templates for more information on clinical note types.

  5. Enter a name for the template.

  6. Enter the template body in the text field. This can be either free-form text or a combination of text and placeholders. See Use Placeholders in Text Templates for more information. You can also apply available font styles for text formatting if needed.

  7. Select Save. The text template is automatically assigned to your active clinic location, ensuring that the template is only available in the clinic location you are currently working in.

Create a Custom Text Template for AI Scribe

When a clinical note template is enabled for AI Scribe, AI Scribe fills in the template's fields from what it hears during the consultation, instead of writing a note from scratch. You can also tell it to fill in a field only under certain conditions.

  1. Select the clinic location name in the top left, then go to Settings > Lists & Templates > Templates > Text templates.

  2. Select Add. The Create text template dialog opens.

  3. Under Template settings, select Clinical note template from the Type drop-down list.

  4. Select the Enable this template for AI Scribe checkbox.

  5. Select the Untitled template heading and enter a name for the template.

  6. Enter your content in the template body, including text, placeholders, and fields. For detailed information, see Create Text Templates.

    • Automating fields: If you add selection boxes, option boxes, or text fields, the AI Scribe can automatically complete these for you during a consultation.

    • AI Instructions: For text fields, you can add specific instructions within the brackets. This tells the AI to populate the field only if certain findings are made, for example, [[ If mites in left ear ]].

  7. Select Save.

Edit a Text Template

To edit an existing text template, select the clinic location name in the top left, then go to Settings > Lists & Templates > Templates > Text templates and select the pen button at the end of the template row. You can modify any information as needed.

Archive a Text Template

To archive a text template, select the clinic location name in the top left, then go to Settings > Lists & Templates > Templates > Text templates and select the trash bin button at the end of the template row. Then, select Archive in the confirmation message dialog.

You can view archived text templates by selecting the Archived filter in the text template list. Archived templates cannot be edited, so the pen button is replaced by an eye button for viewing. If a text template was mistakenly archived, you can restore it by selecting the circular arrow button at the end of the template row.

Copy a Text Template

To create a copy of a text template, select the clinic location name in the top left, then go to Settings > Lists & Templates > Templates > Text templates and select the copy button at the end of the template row. Define a New name for template and select Save.
