Create and Manage Central Items

Note: This functionality is available only for clients using the Pricing Hub. Contact Vetera support for more information.

When using the Pricing Hub in the central clinic location, each item exists as a central item and as corresponding local items in each clinic location. The central item defines the item structure, while local items inherit this structure and, if needed, apply clinic-specific pricing. Changes made to centrally managed fields are reflected across clinic locations.

Create a new central item

To create a new central item:

  1. In the central clinic location, go to Catalog > Items. The item list in the central clinic location is the organization's central item list.

  2. Select + New item and choose the required item type, such as Medicine, Food, or Supply.

  3. Enter the item name and any other relevant information you want to manage centrally.

  4. Open the Pricing hub tab and define pricing-related fields. The VAT group is mandatory.

    These settings define the pricing details of the central item. The same pricing information is set as the default value for local items. At this stage, local prices cannot be defined. Clinic-specific pricing can be adjusted later (after the central item has been saved) in the Clinic location pricing section.

  5. (Optional) Open the Item categories tab and select one or more categories.

    Note: Categories are used for grouping and reporting and do not directly affect whether an item is visible or archived in a local clinic location. Item categories can be created and managed in the Catalog > Catalog management > Item categories.

  6. Select Save.

The central item is created, and a corresponding local item is created for each clinic location.

Edit a Central Item

To edit an existing central item's details:

  1. In the central clinic location, go to Catalog > Items.

  2. Select the pen button at the end of the item row. The Update [item name] dialog opens.

  3. Update the relevant fields under General, Pricing hub, Stock, or Item categories.

  4. Select Review and save.

  5. 5. Review the summary of changes, then select Save to confirm, or Return to editing to make further changes.

The central item is updated, and the changes are reflected in the local items across clinic locations.

Manage local pricing and central item visibility

To manage visibility and clinic-specific pricing:

  1. Open the item in the central clinic location.

  2. Go to the Pricing hub tab.

  3. In the Clinic location pricing section, select All to view all clinic locations.

  4. For each clinic location, use the visibility toggle to control whether the item is visible at that location. Optionally, adjust location-specific pricing details directly in the table.

  5. Select Review and save to review changes.

  6. Select Save to apply the changes, or select Return to editing to make further modifications.

The item's visibility and pricing are updated for the selected clinic locations.

Clinic location pricing section

The Clinic location pricing section displays all clinic locations where the item exists as a local item. Newly created local items are shown in the Archived state by default.

Each row in the table represents a clinic location, and the toggle at the beginning of the row controls whether the item is active in that clinic location. When the toggle is on, the item is available for use and pricing fields are editable according to your permissions. When the toggle is off, the item is archived and cannot be used, and pricing fields are shown as read-only. Changing the toggle affects only the selected clinic location and does not delete the item or impact availability in other clinic locations.

Bulk Edit Items

Note: Bulk editing for VAT group, sales price, sales price offset, and item subgroup may not yet be available for all organizations, as this feature is being rolled out gradually.

Selecting one or more items in Catalog > Items displays a bulk action toolbar above the item list, with the options Pricing, Set visibility, Group by, and Export selected. Use this toolbar to apply a change to all selected items at once. Set visibility lets you archive the central item, or bulk enable or archive the local items across clinic locations. Export selected downloads the selection as XML or sends it as an XLS file by email.

Bulk Edit Item Pricing

  1. In the central clinic location, go to Catalog > Items and select the checkboxes for the items you want to update.

  2. Select Pricing, then choose Edit VAT group, Edit sales price, or Edit sales price offset. The Bulk edit page opens.

  3. Select the new value from the field at the top of the page.

  4. (Sales price offset only) Select + Add clinic location and choose which clinic locations the offset applies to, then select Save.

    Note: Applying a sales price offset overwrites any local items with a custom price and sets them to follow the central price.

  5. In the Preview price updates section, review the sales price and VAT group changes for each selected item. Select Show old prices to compare the current and new values.

  6. Select Update.

The selected items are updated with the new pricing.

Change Item Subgroup for Multiple Items

  1. In the central clinic location, go to Catalog > Items and select the checkboxes for the items you want to update.

  2. Select Group by > Change item subgroup. The Edit item subgroup dialog opens.

  3. Select a new subgroup for each item type included in your selection (for example, Procedure subgroup, Medicine subgroup, Food subgroup). Leave a field empty to leave that item type's subgroup unchanged.

  4. Select Update.

The selected central items are updated with the new subgroup.
