Match an Orphan Cubex Cabinet Item to a Consultation

When the Cubex cabinet integration is used, sometimes an item may not be matched to the correct consultation or patient for some reason. For example, an item may have been taken directly from a cabinet without adding it on a consultation in Vetera first, or the quantity taken from the cabinet does not match the quantity added on the consultation. In these cases, the item status does not update correctly on the consultation, and the item is listed as an orphan item. Orphan items must be matched manually to consultations.

To match orphan items from the Orphan items page:

  1. Go to Patient care > Orphan items.

  2. Find the item in the list and select Add to consultation. A dialog opens.

  3. Add the client and patient and select the consultation that the item is related to.

  4. Select Save. The consultation page and item dialog open. The item dialog shows the red text: 'Orphan item will be linked to this item'.

  5. Check and fill in the item information, then select Save.

Note: The new consultation page is being released during September 2026, and orphan item features are still being added to it. If a function described here is missing, switch to the old version from the top of the consultation page.

To match orphan items from a consultation page:

  1. Open the item search under Treatment items:

    • New consultation page: enter the item name in the search field.

    • Old consultation page: select the plus button in an item section (Medicines, Foods, or Supplies). A search dialog opens.

  2. Select the Orphan medicines (or foods or supplies) checkbox. A list of orphan items opens below.

  3. Find the item in the list and select Add to consultation. The item dialog opens.

  4. Check and fill in the item information, then select Save.

Troubleshooting the Cubex Cabinet Integration

  • Contact Vetera support: If client, patient, or item details are not updated correctly to the MyCubex software from Vetera. For example, when a Cubex item is added on a consultation, or client, patient, or item details are updated in Vetera, and these changes are not updated in MyCubex.

  • Contact Cubex support: If you have any issues with the MyCubex software or Cubex cabinets, for example, if information is not updated correctly from MyCubex to the cabinet or vice versa.
