During a consultation, you can add treatment items, such as procedures, medicines, foods and supplies, to the patient's medical records. These items are also used for invoicing. You can edit or delete these items before the consultation is finalized.
Note: The new consultation page is being released during September 2026. You can switch between versions at any time from the top of the consultation page. This article covers both versions.
Before You Start
Users must have the Consultations and its items permission (read and write) enabled to access and edit consultations and consultation items.
Some items may not appear in search results if they are hidden in the item settings, restricted to specific species, or if your clinic has enabled the Exclude linked items from search option.
Add a Treatment Item
Find the item:
New consultation page: In the Treatment items section, enter the item name in the search field. You can search for medicines, procedures, supplies, food, and bundles. You can also add items without searching, using the Refill, Health plan, Estimation, and Historical items buttons next to the search field. Health plan and Estimation appear only when the patient has an active health plan or an estimate is linked to the consultation.
Old consultation page: Select the plus (+) button next to the section title of the item type you want to add, then enter the item name in the Search field. The search is pre-filtered to that item type.
To narrow the results, filter by Item type or Item subgroup.
Select the item. The item dialog opens.
Fill in the details, such as the quantity, the usage type, and any instructions. The fields depend on the item type.
Procedure items: If the Add procedures without confirmation setting is enabled in the clinic location settings, procedure items are added directly without opening a dialog. If you want to change or edit the item:
Old consultation page: To open the dialog before adding the item, select the Do not skip creation step checkbox. If the item is already added, select the pen button on the item row.
New consultation page: After the item has been added, select the pen button on the item row to change the details. A checkbox for opening the dialog will be added in a later release.
For other item types, the item information dialog always opens by default.
Select Save. The item appears in the treatment items table.
Other Ways Items Can Be Added to a Consultation
Items may be added automatically or through other workflows depending on your clinic's configuration and integrations. The list below summarizes the main scenarios.
From previous consultations:
From bundles:
If your clinic uses item bundles, applying a bundle adds the linked items to the consultation. See Use Item Bundles on a Consultation.
From planned treatments:
From an estimate:
From a reason type:
Certain reason types can automatically include treatment items that have been linked to them.
From laboratory workflows:
Lab referrals, analyses, panels, and lab-related fees may automatically add items when the referral is created or linked.
From imaging workflows:
If the selected target area or modality in an imaging referral has linked procedures, those procedures are added automatically.
From prescriptions:
Items may be added when a prescription is created. For example, in clinics using Swedish e-prescriptions, the associated item is added automatically.
As linked items:
Some items add other items automatically, such as consultation fees linked to procedures or mandatory add on items configured in the catalog.
As automated fees:
Depending on your clinic settings, in-house fees, handling fees, and injection fees can be added automatically. See Use Medicine Handling and Injection Fees.
From health plans:
Items can be added from the patient's health plan during the consultation. See Add Items from Health Plans.
Via API or integrations:
Integrations and custom solutions can add items programmatically using the Vetera REST API.
From an open refill:
If your clinic uses refill workflows, items can be added from an open refill. For more information, see Use Medicine, Food, and Supply Refills.
Automatically on new consultations:
Your clinic can configure default items that are added automatically whenever a new consultation is created. Related setting: Settings > Clinic Location > Automatically add on new consultations.
Insurance related items:
If your clinic uses insurance fee settings, items can be added when an insurance claim is created. The items added depend on the default items configured for insurance fees. Related setting: Settings > Clinic Location > Insurance settings > Default items for fee.
Out-of-Stock Items
When you add items to a consultation, Vetera shows Out of stock next to any item whose stock balance is zero or lower. The label appears wherever you add items, including from estimates, bundles and refills.
The label appears in the item search list, and again in the item dialog under Stock location.
You can still add an out-of-stock item. Follow your clinic's process for items that are not in stock.
Note: You only see this label if your clinic location has both stock settings turned on. If you do not see it, ask your practice administrator to check.
Edit or Delete a Treatment Item
Edit an Item
Select the pen button on the item row.
In the item dialog, edit the fields as needed.
Select Save.
For example, if you accidentally added the wrong batch number to a vaccine, open the item, update the Batch field, and select Save.
Delete an Item
Select the pen button on the item row.
In the item dialog, select Delete.
Note: Once a consultation is finalized, items cannot be changed or deleted directly. As a standard accounting practice, corrections require creating a credit note for the original invoice and then creating a new consultation/invoice with the correct item details to update the patient's record.
