Item bundles provide an easy way to add treatment items that are routinely used in combination during consultations. Item bundles are available if they have been set up in your system.
Note: Vetera has two consultation pages while the new one is being introduced. The steps for both pages are below. Follow the steps for the page you are using.
Open a Bundle
On the New Consultation Page
In the treatment items section, type the name of the bundle in the Add medicines, procedures, supplies, food or bundles field. Bundles are listed in the results with the item type Bundle and the package price.
Select the bundle. The Add treatment items to consultation dialog opens.
On the Old Consultation Page
Select the Bundles button next to the Treatment items section title.
In the Treatment item bundles dialog, select the bundle you want to add items from. The Add treatment items to consultation dialog opens.
Add the Items to the Consultation
The dialog lists the items in the bundle. At the top it shows the bundle name, the total template price, and any notes set on the bundle.
To add items from the bundle:
Select the checkbox beside each item you want to add. To select every item, use the checkbox in the header row.
Set the Veterinarian, Performed by and Date at the top of the dialog, then select Copy to rows to apply them to every row. You can also set these on a single row, along with the quantity, price, administration method and usage type.
Choose how the bundle is shown on the finalized invoice.
Select Add.
The items are added to the treatment items table.
You have two choices for how the bundle appears on the invoice:
Show bundle title on finalized invoice: the items are grouped on one row showing the bundle title. The individual items are not shown.
Show items included in bundle on finalized invoice: the individual items are listed on the invoice.
Note: If the bundle contains items that are not compatible with the patient's species, those items are listed but cannot be selected. A mandatory item in a sub-bundle is the exception and is used anyway. See Overview of Species-Specific Item and Bundle Restrictions. In a consultation with more than one patient, see Item Bundles in Multi-Patient Consultations.
A sub-bundle is shown as a collapsible row carrying the sub-bundle name, with its own items listed under it. Template unused amount at the bottom of the dialog shows how much of the bundle's template price the items you selected do not use.
Plan a Bundle Item for Later
To add an item from the bundle as a planned item instead of a current one, select Plan on that item's row. The item discount or fixed price is applied based on the item's discount rule. For planned items, see Add Planned Treatment Items for a Patient.
Out-of-Stock Items
When you add items to a consultation, Vetera shows Out of stock next to any item whose stock balance is zero or lower. The label appears in the item search list, and again in the item dialog under Stock location.
You can still add an out-of-stock item. Follow your clinic's process for items that are not in stock.
Note: You only see this label if your clinic location has both stock settings turned on. If you do not see it, ask your practice administrator to check.
Item Bundles in Multi-Patient Consultations
Note: Consultations with more than one patient open on the old consultation page.
When you have more than one patient in a consultation, you can select the patients you want to add items for.
If there are patients of several species in the same consultation and the bundle items have species restrictions, the items you can use depend on the patients you select. An item can be used if it is compatible with all the selected patients. If an item is compatible with some of the patients but not all of them, the item is listed but cannot be used. In this case, select the patients separately to add the compatible items for each of them. See the example below.
Note: If you use a sub-bundle that contains an incompatible but mandatory item, the mandatory item is used even if it is not compatible with the patient's species.
Example
In this example, patient Mandy is a cat and patient Max is a dog. The items in the selected bundle have the following species restrictions:
"Example medicine 1" is restricted to cats.
"Example medicine 2" is restricted to dogs.
"Example medicine 3" does not have any species-specific restrictions.
When both patients are selected, only "Example medicine 3" can be used, because it is the only item compatible with both species in the consultation. The other items are listed but cannot be selected, even though "Example medicine 2" is compatible with Max and "Example medicine 1" with Mandy.
When only Mandy is selected, "Example medicine 1" (restricted to cats) and "Example medicine 3" (no restrictions) can be used.
