Maintain Your Vetera Pay Payment Terminal

A Vetera Pay payment terminal needs a stable internet connection and a charged battery to take payments. This article describes the network requirements for the terminal, how to care for the battery and the charging cable, and how to retry a card payment without charging the client twice. The information applies to the payment terminals that Vetera supplies for Vetera Pay.

Key Points for Your Vetera Pay Terminal

  • The terminal needs internet access for every payment. A weak Wi-Fi signal makes payments slow or makes them fail, so place the terminal where the signal is strong.

  • Charge the terminal every night, and leave it switched on.

  • Before you retry a payment, check the payment status in Vetera. This prevents duplicate payments.

Network Requirements for Your Vetera Pay Terminal

Wi-Fi Requirements

The Vetera Pay terminal connects to the internet through the clinic Wi-Fi network. The Wi-Fi network must use WPA or WPA2 security, either Personal or Enterprise, on 2.4 GHz or 5 GHz.

The terminal also has a SIM card for mobile data. Mobile data is a backup connection only. Use Wi-Fi as the main connection.

Wi-Fi Signal Strength

The Vetera Pay terminal needs a strong Wi-Fi signal at the place where you take payments, for example at the reception desk or in a consultation room. The signal next to the router does not show how strong the signal is in these places.

If several terminals or several rooms have connection problems, the Wi-Fi coverage is usually too weak. A new terminal does not solve this problem. An additional Wi-Fi access point near the payment area improves the signal.

Note: The Wi-Fi icon at the top of the terminal screen shows that the terminal is connected to the Wi-Fi network. The icon does not show whether the Wi-Fi network has internet access. On AMS1 and S1F2 terminals, the Wi-Fi icon is in the top right corner of the screen.

Required Network Settings

The Vetera Pay terminal cannot take payments if one of these network settings is incorrect.

  • Firewall allowlist: The firewall allows outbound HTTPS traffic on TCP port 443 from the terminals to these domains: *.adyen.com, *.adyenpayments.com, pay.nordhealth.com, and api.pay.nordhealth.app.

  • Firewall rules by domain name: Firewall rules for Vetera Pay use domain names, not IP addresses, because the IP addresses behind the domains change. A firewall that resolves domain names checks for new IP addresses at least every 60 seconds.

  • Country filters: No firewall rule blocks traffic to or from Ireland, where Vetera Pay is hosted. This applies to clinics in all countries.

  • Proxy: The terminals connect directly to the internet. The terminals do not support proxy connections.

  • TLS inspection: Transport Layer Security (TLS) traffic to *.adyen.com and *.adyenpayments.com is not decrypted or inspected.

  • DHCP: The terminals get dynamic IP addresses through Dynamic Host Configuration Protocol (DHCP), without a reservation. The DHCP lease time is 24 hours or more.

Recommended Network Settings

These network settings make the Vetera Pay terminal connection more stable.

  • Separate Wi-Fi network: The terminals use their own private Wi-Fi network. The network is not a guest network and has no login page (captive portal).

  • DNS: The Domain Name System (DNS) server resolves *.adyen.com and *.adyenpayments.com. A caching DNS server respects the 60-second time-to-live of these domain records.

  • Security software: Firewall software, intrusion-detection software, and their signatures are up to date.

  • Power backup: The router and the Wi-Fi access points are connected to an uninterruptible power supply (UPS).

Battery Care for Your Vetera Pay Terminal

Charge the Terminal

A charged battery keeps the Vetera Pay terminal ready to take payments.

  • Charge the terminal on the charger every night. Use only the cable and power plug that came with the terminal.

  • Leave the terminal switched on. The terminal installs software and settings updates automatically when it is switched on and connected. When you do not use the terminal, it goes to sleep. To wake the terminal, press the power button.

  • Charge the terminal before the battery level drops to 15–20%. The battery icon at the top of the screen shows the charge level, and the terminal shows a 'Low Battery' warning when the battery is low.

  • A weak Wi-Fi signal drains the battery faster. If the battery does not last a full day, check the Wi-Fi signal before you assume that the battery is faulty.

Note: The terminal does not stop you from starting a payment when the battery is low. If the battery runs out during a payment, the payment fails.

Care for the Charging Cable

A damaged cable or charging socket can stop the Vetera Pay terminal from charging.

  • Hold the plug, not the cable, when you connect or disconnect the cable.

  • Push the plug straight in, and pull the plug straight out. Do not move the plug up, down, or sideways.

  • Do not bend or fold the cable, and do not use force.

  • Before you connect the cable, check that the charging socket is clean.

  • In areas with dust, humidity, or food residue, use a charging station instead of the cable.

Store a Spare Terminal

If your clinic keeps a spare Vetera Pay terminal, store the spare terminal correctly. A terminal that is not used for a long time can permanently lose battery capacity. To store a spare terminal:

  1. Charge the battery to between 40% and 70%. Do not store the terminal fully charged or with an empty battery.

  2. Store the terminal in a cool, dry place, away from direct sunlight and heat.

  3. Every six months, check the battery for swelling or leaks. Charge the battery to between 40% and 70% again.

The battery keeps its capacity, and the spare terminal is ready to use.

Before you use the spare terminal, switch it on well in advance. After a long time off, the terminal updates its software and settings, and the update can take 10–20 minutes.

Note: If the battery is swollen or leaking, stop using the terminal and contact Vetera Support.

Switch On a Terminal After a Long Time Off

A Vetera Pay terminal that has been switched off for a long time updates its software and settings when you switch it on. The update can take 10–20 minutes, so switch on the terminal well before you need it.

Note: Do not switch off or restart the terminal during the update. If the update is interrupted, the terminal can get stuck and restart over and over. Wait until the update is complete, even if it takes 20 minutes.

  1. Connect the terminal to a power supply.

  2. Press and hold the power button until the screen turns on.

  3. Wait until the update is complete.

The terminal is ready to take payments.

Take Card Payments Without Duplicate Charges

Take a Card Payment

To take a card payment with the Vetera Pay terminal:

  1. Start the payment in Vetera.

  2. Wait until the amount shows on the terminal.

  3. Ask the client to tap, insert, or swipe the card. If the client inserts the card, leave the card in the terminal until the terminal screen says to remove it.

  4. Wait until the result shows on the terminal and in Vetera.

The payment status shows in Vetera.

Retry a Failed Payment

The Vetera Pay terminal screen does not always show that a payment is approved. To retry a payment without charging the client twice:

  1. Check the payment status in Vetera.

  2. If the payment is approved, do not take the card again.

  3. If the payment is not approved, start the payment again. Do not try the same card more than two times.

Declined and Canceled Payments

The way the Vetera Pay terminal responds shows why a payment failed.
